Role Overview
The Specification Management Analyst supports the Specification Management teams within Hyderabad Business Services (HBS) by delivering high-quality specification management services for PepsiCo’s global Research and Development (R&D) operations. The role focuses on developing, maintaining, and managing ingredient, formula, and packaging specifications while collaborating with internal stakeholders and external suppliers to ensure compliance with quality, regulatory, and food safety standards. The analyst also supports supplier qualification, specification documentation, and workflow management across enterprise systems.
Key Responsibilities
Specification Development and Management
- Develops, updates, and maintains ingredient, formula, and packaging specifications that are clear, accurate, and compliant with organizational standards.
- Utilizes internal and external resources to ensure specification readiness through supplier commercial qualification approval.
- Learns, understands, and applies Ingredient, Supplier, Third-Party, Formula, and Beverage/Food Packaging Standards.
- Supports specification preparation under the guidance of senior specification management professionals, when applicable.
- Reviews and updates existing specifications to maintain compliance with organizational, regulatory, and quality requirements.
Supplier and Stakeholder Collaboration
- Builds and maintains strong working relationships with in-market R&D specification teams, Global Business Services (GBS) teams, and external suppliers.
- Serves as the primary point of contact for suppliers to collect technical information and documentation required for specification development.
- Coordinates supplier questionnaires and ensures alignment on specification details.
- Collaborates with cross-functional teams, including:
- Product Development (PD)
- Food Safety (FS)
- Regulatory Affairs (RA)
- Quality Assurance (QA)
- Procurement
- Supplier Quality Assurance (SQA)
- Facilitates effective communication to ensure complete and accurate technical specifications.
Quality, Compliance, and Documentation
- Initiates material testing requests and validates specification quality parameters for applicable food and beverage products.
- Uploads supplier specifications, qualification documents, and supporting records into enterprise systems such as Product Vision and SAP.
- Tracks workflows to ensure timely completion of specification-related activities.
- Ensures all requests are processed, documented, and delivered within established Service Level Agreements (SLAs).
- Identifies and escalates critical business issues that could impact material supply, production continuity, or product availability.
Packaging Specification Support
- Schedules and conducts Individual Component Specification (ICS) reviews.
- Updates packaging specification documents and coordinates supplier approvals before internal review processes.
- Ensures packaging specifications comply with organizational standards and approval requirements.
Educational Requirements
- Bachelor’s degree in one of the following disciplines:
- Food Science
- Food Engineering
- Microbiology
- Biochemical Engineering
- Equivalent relevant discipline or experience
Required Qualifications
- 1–2 years of experience in:
- Regulatory Affairs
- Quality Assurance (QA)
- Quality Control (QC)
- Food Analytical Testing
- Food-related FMCG technical roles
- Relevant internship experience may also be considered based on skills and organizational requirements.
- Basic understanding of Food Safety, Microbiology, and Regulatory Affairs, particularly for Formula and Ingredient Specifications.
- Proficiency in Microsoft Office Suite.
- Ability to quickly learn new software applications and enterprise systems such as SAP and Product Vision.
- Strong ability to interpret technical information, identify issues, and support practical solutions.
- Excellent organizational skills with strong attention to detail and data accuracy.
- Effective verbal and written communication skills in English.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
