Job Description : To provide personal and administrative support to Head – Global Drug Development.
Major Activates are :
- Manage and maintain executives’ schedules, appointments and travel arrangements.
- Organize and co-ordinate GDD events – GDD Townhalls, Leadership connects ,Team building events, Conferences, etc
- Organizes and coordinates the Outreach and External relations initiatives.
- Prepare and edit correspondence, organization announcements ,appointments notices ,presentations and other documents as required
- Collect, analyze and consolidate information and prepare reports.
- Organize and co-ordinate Leadership meetings. Record, transcribe & distribute minutes of the meeting to the teams post meeting
- Coordinate the visits of Global Leadership teams to Hyderabad which includes – coordinating their travel plans, agendas and meetings
- Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.
- Maintain departmental files and proper submission of approval forms
- Handle confidential information and communication with all levels of management in a professional manner
- Coordinate with different project team members for any actions to be closed and maintain tracking status.
- Data management with regards to maintenance of organization chart updates of the various stakeholder functions
- Provides timely and proactive management of office environment to provide seamless experience.
- Handle HR related administrative tasks including time reporting, organization change requests, rewards and recognition forms, organization chart updates, emergency lists
- Support the business leader with different administrative processes and tools.
- Collaborate with site Business Operations team to develop a portfolio of im-provement opportunities, prioritize these and ensure successful execution to meet business needs
- Provide associated consolidated latest estimates on current annual budget and for future annual budgets. Petty cash.
- Key point of contact to REFS and admin team for GDD related activities
Minimum requirements :
- Post Graduate / Graduate Degree in business or life sciences from an institute of repute.
- Good knowledge of English (oral and written).
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent communication, stakeholders management, problem solving and decision making skills
- Strong work tenure : should have managed C-level Executive office for min 10 years
- Collecting, analyzing and evaluating information
- Ability to ensure service focus across a complex people intensive and functionally-dispersed organization
- Proactive and result oriented.
