Key Responsibilities
- Support account teams in successful project execution within timelines and budgets.
- Maintain project tracking tools, status reports, timelines, and documentation.
- Prepare project kick-off materials, job sheets, and tracking documents.
- Coordinate with internal teams, clients, authors, faculty, and vendors for smooth project delivery.
- Raise purchase orders, track payments, and support financial/project budget tracking.
- Manage manuscript submissions, journal formatting, citations, and reference databases.
- Support abstract/manuscript submissions and maintain publication tracking systems.
- Assist in QC, fact-checking, and implementation of scientific/editorial revisions.
- Organize meetings, teleconferences, agendas, minutes, and project communications.
- Maintain structured filing systems and ensure accurate project documentation.
- Identify project risks/issues proactively and escalate concerns to managers.
- Support proposal development, pitch presentations, and process training activities.
- Prioritize workload efficiently and ensure timely completion of assigned tasks.
- Communicate professionally with internal and external stakeholders for effective coordination.
Education
Graduation in Life Sciences
Experience
- Project and team coordination
- Experience within the medical communications environment would be an advantage
Skills
- Advanced proficiency in MS Word, PowerPoint, Excel, Outlook, and working knowledge of Reference Manager and databases.
- Skilled in sourcing information through the Internet and other research platforms.
- Ability to manage financial trackers and process financial information accurately.
- Strong self-management skills with the ability to respond proactively to tasks and requests.
- Excellent interpersonal, written, and verbal communication skills.
- Strong organizational and multitasking abilities with effective time management.
- High accuracy and attention to detail while working under strict deadlines.
