Key Accountabilities

The Coordinator is the central hub for administrative and logistical project needs, ensuring smooth communication and documentation flow.

  • Project Setup & Tracking: Set up project documentation (status reports, tracking documents, naming conventions); proactively maintain and circulate internal and external project tracking and status reports.
  • Document & Submission Management: Manage the entire document lifecycle, including:
    • Generating correspondence for permission to reproduce illustrations/figures.
    • Ordering journal/library held references and maintaining online archives.
    • Inserting Reference Manager citations and formatting documents/slides to style.
    • Preparing and undertaking submission (eg, online) of abstracts or manuscripts.
  • Financial & Vendor Coordination: Raise and track purchase orders (POs) for external services and assist with financial tracking (invoice schedules, reconciliations, budget revisions).
  • Quality Assurance: Assist with QC and fact-checking on requested projects.
  • Team & Meeting Support: Manage team meetings (scheduling, material prep, minute-taking) and organize all travel, accommodation, and arrangements for client visits/teleconferences.

Essential Skills and Qualifications

Education & Experience

  • Education: Ideally, a Degree preferred in Life Sciences.
  • Experience: Project and team coordination experience; experience within the medical communications environment would be an advantage.
