Key Accountabilities:
Project Delivery Support
- Assist account teams with successful project delivery.
- Provide skilled support in project implementation and management within schedules and budgets.
- Maintain and circulate project tracking and status reports (internal and external).
- Set up and maintain project information across tracking tools.
- Create project job sheets, kick-off materials, and manage project codes.
- Raise purchase orders, track payments, and manage external services.
- Generate correspondence for permissions and manage reference ordering.
- Insert and format Reference Manager citations into manuscripts.
- Manage abstract/manuscript submissions to journals.
- Format documents to the journal/house style and prepare PowerPoint slides.
- Assist with QC and fact-checking on projects.
Team Meetings & Coordination
- Prepare meeting materials, timelines, and minutes.
- Maintain client publication tracking tools (e.g., Datavision, PubStrat).
- Serve as database super-user, train staff, and manage user access.
- Track project financials, including budgets, invoices, reconciliations, and reports.
- Schedule and coordinate client/KOL meetings and teleconferences.
- Maintain structured filing systems for documentation and correspondence.
Proposal & Process Support
- Assist in proposal and budget development.
- Contribute to pitch presentation development.
- Identify training needs and support the onboarding of new employees.
- Provide proactive solutions for project or team challenges.
General Team Support
- Coordinate induction programs for new starters.
- Arrange travel, accommodation, and client visit logistics.
- Manage incoming/outgoing mail and emails.
- Maintain email distribution groups.
- Archive completed projects as per company policy.
Skills Required
- Advanced proficiency in Word, PowerPoint, Excel, and Outlook; intermediate proficiency in Reference Manager.
- Strong database knowledge (e.g., Access).
- Skilled in sourcing information online.
- Confident with financial trackers and reporting.
- Strong interpersonal and communication skills.
- Excellent organizational and multitasking abilities.
- Accuracy, attention to detail, and confidentiality.
- Team player with a client-focused mindset.
- Fluent in English with professional correspondence skills.
Education
- Degree preferred, e.g., Life Science
Knowledge and Experience:
- Project and team coordination experience
- Experience within the medical communications environment would be an advantage
